Adding and Managing Inventory Items

Accessing your Inventory section

You can access your Inventory section by clicking on the Inventory section in the left side of your Folio homepage.

You'll see three sections:

  • Items β€” everything you're tracking.

  • Locations β€” the physical places where you store things.

  • Counts β€” your count sessions, past and present.

You can add new items, locations or counts at anytime by going into the corresponding tab and clicking on the "New" button to the top right of your screen.

Adding New Items

You can add new items at anytime, including during a count. If you are in the middle of a count and want to add items, click on the " +" sign at the bottom of your count page.

Setting up Items

  • Click the Items tab to see all your Items.

  • One thing to note: on this Items page, everything is listed alphabetically. But when you're actually counting, items are organized sheet to shelf β€” matching the order you'd walk through each location. So don't worry if the order here doesn't match your physical layout.

  • You can add new items by clicking on the "New" button to the top right of your screen.

  • You can see and edit an item properties by clicking on the item.

  • When adding items, you'll see item fields with the following information:

    • Item Details:

      • Pack Size -- how many units come in a case

      • Price per Unit -- cost per unit

      • Category -- e.g., Protein, Dairy, Produce

    • Locations:

      • Locations β€” where the item lives. An item can be in multiple locations.

    • Counting:

      This is the most important section to check. Ensure how you count your items and the units of measure for how is purchased are the same.

      • If your count is in bottles, but the item is ordered in cases, your count and pricing might be off.

        • Par β€” target quantity you want on hand

        • Count UOM β€” the unit you physically count in (LB, CS, EA)

        • Alternate Count UOM β€” optional second unit (e.g., count in cases and individual units)

        • Conversion Factor β€” how alternate UOM converts to the primary (e.g., 1 CS = 12 EA)

          Example: If you buy milk by the case (4 gallons) but count it in gallons, your Pack Size is 4 and your Count UOM is Gallon.
